941 Tax Form

Post by stlwrnce »

My quarterly report is calculating on check date rather than payroll period. Thus for the checks written in the next month (but posted to correct month) the 941 information is put into the month the check was written. For example March payroll checks had April date on them. Now 941 data is in the wrong quarter.

How do I fix this?

I have version 11 and the manual state that payroll period is used to calculate 941 Report (Page 309)

Just wondering, do you have the latest MRs installed ?? There was an issue with a YTD calculation for payroll stubs that was fixed in the 03/20/12 MR, and the 941 form itself was updated in the 03/28/12 report.

Also, I believe the payroll period comes into play if you're doing semi-weekly deposits, are you doing that or quarterly ??

Hi Neil,

I have the most current updates and I am filing quarterly reports but making monthly deposits. It would really help to get this resolved. Thanks for your help.

Joan.

Are you running the Quarterly Report or are you running the 941?

The Quarterly Report is by check date. Version 11/11.1 can produce the 941 form directly under Accounting > Payroll > Tax Reporting > 941 Report.

I am running the 941 form which is still using check date.

I hate to say this, but the instructions for the 941 say, that you must report wages you PAY during the quarter which ended on March 31st. The date of the check was in April, so basically you paid the wages in the next quarter; and April is where the transaction will be posted in Funds Accounting.

There is a line on the 941 where it asks how many employees overpaid for the pay period that include a special day. The payroll period is used to calculate this. Neil is right in that 941 will only include amounts paid during the quarter.
