Cleaning Up Chart of Accounts

Post by RLM »

I am wanting to clean up some clutter & at the same time wanting to re-use old account numbers for a new year's budget. I do not want to restart Fund Accounting. In doing this I have the following example and want to know if this is an acceptable accounting practice to do so.

01-6050-000 YOUTH MINISTRIES (Group)
01-6055-000 YM Expenses (detail - level 5)
01-6056-000 Youth Room T.V. (detail - level 6)

The Youth Room T.V. was purchased on last years budget.

Is it acceptable to roll 01-6056-000 Youth Room T.V. into 01-6055-000 YM Expenses for instance?

It's acceptable to merge them, or you can transact the amount from one to the other and make the unused one inactive.

You can also combine accounts together using the move function. This will combine all prior transactions into the one account.

To combine an account

From the chart of accounts screen
Navigate to the account you wish to get rid of
Select the details button

From the Account Detail screen
Select Move Account
Select the current account you wish to move this account into.
Select Next and the Finish.

This will move all the transactions for that account into the account you selected.

When you get back to the Maintain Chart of Accounts screen, check to see if that account is used in any other funds. It there are no funds listed for that account, you can delete the account from your chart of accounts.
