Fund Raiser to give w9

Yes at our church we are selling BBQ plates to raise money for a mission trip. I realize when some one recieves a tangible item for mooney they can not have a tax write off.
I have a company requesting a W-9 from us ( the church) are else they do not want to buy $300 worth of BBQ.
please help with a solution???

I would just figure out the cost per sandwich, create a thank you letter using church letterhead outside of Powerchurch with the gross amount of the donation, then subtracting the food cost, then the final net donation. List the blurb from the IRS about tangible item donations at the bottom, I think you can find it in IRS Pub 15 or one concerning charitable donations.

Send that letter along with the W-9, keep the letter in your files for 4 years, and you're done. Its then up to the company to do the right thing.

I have noticed your assistance in the past posts that I posted. You are truly a blessing. I know god would send someone with the knowledge on how to handle these situations that arises especially when I needed an answer before noon today. EST, South Carolina

A W9 is a request for your taxpayer identification. It is probably just their bookkeeper getting you setup in their records as a vendor. We receive several W9s a year from people when we know they won't be issuing us a 1099. When we ask them about it, usually their auditor requires them to have a W9 for all vendors even if they are not going to be sending a 1099 to that vendor.
