Income Statement

We just started using Powerchurch Plus the first of the year. We have ran our first month end reports. My problem is ... the income statement only shows income for the general fund, but if you look at the fund balance report it shows the income for the seperate funds. How can I get the individual income accounts to show on the income statement instead of the summary it is showing now.

If the middle four account numbers (major account numbers) are the same across your different funds, the program is designed to conslidate those accounts when you run any reports as conslidated. This is one thing that allows you to have one checking account for multiple funds. If the accounts shouldn't be conslidating like the major account numbers should be different. Otherwise, in order to get accurate amounts you'll need to run those reports for each fund seperately.

OK ... just to clarify ..

My general fund income is #01-4101-000
My mission fund income is #02-4101-000

I would need to change my mission fund to something like 02-4102-000 in order to get it seperate on the income statement. I do need all funds to use the one checking account number. What about the groups ... I have these set as 01-4050-000 and 02-4050-000 respectively.

Tiim,

Yes, by changing the number from 02-4101 to 02-4102, you would then have both listed on the statements.

The group accounts are going to act the same way as the detail accounts. If the middle four digits are the same, they will consolidate together and you will only see it appear once on the Income and Expense Statement.

Reorganizing existing accounts

OK ..

I now understand this and have been able to get the results in a test environment. Now my problem is that I need to reorganize my account numbers to match my needs. Unfortunately I have already posted to some accounts that I need to reorganize and it won't let me renumber or delete. Can I do journal entries to zero these accounts so that I can deleted them and recreate for a new fund?

No, you won't be able to change any accounts with posted activity, regardless of the balance. But, you can clear out all your detail and start your accounting over by following the steps outlined here:

If you are still in your first month, you can also just do a journal transaction to move the balance from one account to the other. You will not be abe to delete from the COA, but you would not have to start over.

To do this from your example you would debit the 02-4101-000 and credit the 02-4102-000 account. 02-4101-000 should then have a zero balance. You will see activity in that account on detail reports like the account activity, but total reports like the Income & Expense statement will show the total in the new account.
