Moving existing detail accounts to new groups

On our balance sheet we are wanting to move around some detail accounts. We want to re organize them to different groups. When I try the 'Move Account' it says "This option moves an account from one number to another within the same fund. If you want to use an existing account, select the account from the list and check the use existing account checkbox. To add a new account enter the account information in the space provided." I don't know if I'm just misreading it or what, but it just isn't working for me. I want to keep the same account number, I just want to move the detail account to a new group. How do I do that?

If I try to move the detail to a new group it says 'You must select a detail account to move this account to.' :wall:

What do you mean by 'groups' .. are you talking Funds, or under a different Group Account?

For example:

5100 - Group Expense account
5110 - Detail Account 1
5120 - Detail Account 2

5200 - Group Expense Account
5210 - Detail Account 3
5220 - Detail Account 4

If you want to move account 5110 under the 5200 Group, you have to give it a new account number, in this case 5230, for it to appear under that group.

If you're talking a new Fund, that's a whole different matter.

What do you mean by 'groups' .. are you talking Funds, or under a different Group Account?

For example:

5100 - Group Expense account
5110 - Detail Account 1
5120 - Detail Account 2

5200 - Group Expense Account
5210 - Detail Account 3
5220 - Detail Account 4

If you want to move account 5110 under the 5200 Group, you have to give it a new account number, in this case 5230, for it to appear under that group.

If you're talking a new Fund, that's a whole different matter.


Oh, so I have to change the account number...that's going to be interesting with the way things are set up. The previous bookkeeper left no room for 'improvement.' So changing the account number won't change any of the account postings or anything will it? Thanks for the reply!

Changing an account number will keep all of the history of the account with it. The move account is used to just an account within one fund.

For example say you have the following account. 5201 and it is used in 2 funds. 01-5201 and 02-5201. The move process lets you separate the accounts in each fund to have their own number. So you could move 02-5201 to a new account number (02-5205) and leave 01-5201 in the current place.

If you just need to change the number, make the change to the account number and it will change in all funds.

If you need to 'make room' .. you could do it, but it will take some time.

Note: Before you try this (or anything I suggest ... do a backup first 8) )

Start from the bottom of the area you want to 'make room' for :

then change the account number to something that gives you room.

FOr instance>

if you have expenses like this:

5000-expenses
5100-ministry 1
5101- expense 1
5102 - expense 2
5103 - expense 3
5105-ministry 2
5106- expense 4
5107- expense 5
------
5190-last ministry
5191-expense 6
5192-expense 7


figure how you want to space them out ... expense accounts can have numbers up to the 8999 (I believe)
You could probably get away with having ministries at a 100 number range:
5100-worship
5200-building
5300-evangelism
and so on .. need more .. go with 200.

So once you figure out your spacing (I'm using 5900 as the last ministry), start renumbering your last ministry and give it that group account number:

So in the example above, I'd renumber the 5190 to 5900
then renumber 5191 to 5910, 5192 to 5920, and continue moving backwards to the beginning.

then you'll have some room to work with.
