Re-generating paystubs

Post by Ben »

Hi!

I am new to PowerChurch (v11). We had a bit of an accident and lost the original paper paystubs for last year. Is it possible to re-print paystubs showing how gross pay was mapped to taxes and net pay?

The payroll items summary is inconclusive (I'm not certain on if all employees were setup correctly in terms of ministerial versus non-minister positions). For example, payments to guest preachers seems to be showing up in the summary for the primary pastor.

It would vastly help if I could just generate the paystub for each payroll check that was written in 2011.

Thanks,
Ben

If you really want a lot of detail, this report kind of looks like a pay stub:

Payroll / reports / selected payroll data / custom date range
select one payroll date from last year
select sort by check (or item number, depending on what you want it to look like)

Repeat for every employee, every payroll date.

That's potentially a lot of reports. You could run a date range and sort by employee.

Just wanted to add that I agree it would be EXTREMELY helpful to be able to re-print paystubs. There have been many times when i was away from home with my laptop and wanted to run payroll. But if I did that when I wasn't connected to a printer to immediately print the stubs, then I was forever out of luck. It seems like there could be an option similar to the accounting posting report where you could either print it at the time you run it or re-print it at a later date.
perhaps if enough of us put that in as a suggested enhancement.......

Actually, there's a way you can do this right now, using a PDF printing application like pdf995 (available at pdf995.com) .. its free (if you don't mind advertising) for use, or you can buy a lifetime site license for a small fee.

However, you can then print your stubs to a PDF file, and then print them later when you have access to a printer.

I know this is an old topic, but I wanted to add more information, just in case someone is looking at this topic later.

Version 11.5 added the ability to reprint a check stub.

From the Maintain List of Employees screen, select the Check History tab.

Select the paycheck from the list and click the printer button above the check detail list. This will reprint the check stub.

Also from this screen you can click the 'X' button to void or re-issue this check.

The only problem I see with this is that it does not report out the vacation, sick time used and remaining.

Tom .. does a normal pay stub do that ?? I really don't know, we don't track that here. Everyone's salaried, all two employees ;)

There was a bug written up about that and fixed in the 3/19/2012 Maintenance Release. The reprint stub should now look like the original check stub.

Neil,

Yes it does. We have three salaried and one hourly and we track vacation and personal time for all of them.

Zorak,

I am running the latest MR 4/16 and that information is not on the reprinted stub.

Sorry about that. There was a note from the developer that was fixing the layout on that bug that there was a problem specifically with that time off block and it isn't able to be included when you reprint the stub.

You have just burst my bubble. I thought you could do anything with software, but I guess I was wrong. :D

I understand completely. That bubble gets burst somewhat regularly when you're here full time!

The problem is that in the data, we are tracking when the time off is earned and used, but not when you recorded that time off being earned and used. So, if you print paychecks, then add time off for someone, then go back and reprint stubs, the time off amount could be different than it was on the original stub.

So it is always current data, not data directly attached to the stub printed on the original check date. Makes sense to me now. So this means that if you are doing direct deposit of payroll and using the time off feature you can not print a stub for the employee with this data on it. It would have to be distributed in a different manner. Or is there another procedure to accomplish this?

Basically, the stub on a check, or the stub by itself (for manual checks and direct deposit) will show the time off stats as of the moment you are processing payroll. Reprinting stubs at a later time would only be able to generate the time off stats as of the moment you are reprinting the stub, not as of the time the original check/stub was printed. Since we can't guarantee the figures will be the same when reprinting as was shown on the original stub, the decision was made not to reprint the time off info on the stub when reprinting.

This isn't specific to check, manual check, or direct deposit. The original one you print can include time off stats if you choose to, but the reprinted stubs can not.
