Changing Donor Restrictions

In the past, I have had the donor restricted accounts set up in the same fund as regular operating income and expenses. But this makes my reports very difficult to understand each month when it shows both general fund expenses and expenses that were paid with donor restricted funds coming out of the same account. Therefore, I feel for reporting purposes it would be better to move all the donor restricted accounts into a separate fund and track those expenses separately. Do I have to delete the existing donor restrictions and start over by setting up new ones or can the existing ones be edited. Thank you for your help!

Well, first you create the accounts (Income, Expense, Release and Asset) in the new fund, then move the funds to that account.

Then all you need to do is edit the restrictions in the Maintain List of Donor Restrictions module to point to the new release account.

When you say move funds, do you mean using the Move Account function? Thank you

The move account function only works within the same fund. IE moving account 01-4120-000 to 01-4130-000 for example. It sounds like you will be creating a new fund altogether, like the 02 fund. So set up the fund with the bank account number where the money gets deposited, create your donor restrictions for the new fund, and then moving the funds (money) from one fund to another will look something like (with your account numbers and totals of course):

01-1110 $100 cr
01-4200 $100 db
02-1110 $100 db
02-4200 $100 cr

This works for moving the income from THIS year. To move the equity from previous years would be the same basically only using 3000 accounts in a four line transaction. You could then modify it to moves expense, liability, etc.

The above transaction take $100 out of the 01 fund and moves it to the 02 fund. So anywhere there is a balance in 01 you want to be in 02 (or whatever your fund number is) the transactions will use something similar.

OK - I think I have this figured out for short term restricted.

Now, I have some pass thru accounts that I want to also move for the new year. But most of then have negative balances - because the church will cover costs up front and then collect those funds. So do I use the same type of transaction and just post a negative number????

I would think so .. just reverse the debits and credits.

Thank you Neil - I have this all straightened out now! Hopefully, next year's reports will be much simplier to prepare!
