For some reason we had a number of contributions in 2006 attached to yearly pledges in 2005. The date on pledges was correct so I'm not sure how this happened other than data entry error. The interesting part comes when I try to correct it. If you go to maintain pledges screen, highlight the 2005 pledge and check contributions included you will find some 2006 contributions listed. If more than one 2006 contribution is listed, I can go to change 2005 pledge, change nothing, hit OK and I get a message that some contributions are outside the date range and do I want to unattach them. This is easy, I can say yes and then attach them to 2006 pledges. However, if there is just one 2006 contribution attached to 2005 pledge, it doesn't give me the option to unattach one contribution. Only way I've come up with in this case is to delete the 2005 pledge entirely and then the one 2006 contribution will come up when I search for unattached contributions to 2006 yearly pledge.

Question is has anyone else had problem with 2006 contributions getting attached to 2005 pledge? Also, there seems to be a problem with unattaching one single contribution. If mulltiple contributions are attached to wrong pledge, the process described above will work fine.

I would like to keep the old pledges in the system for historical records if possible. I know we can delete all the old 2005 yearly pledges and then everything seems to work OK.

Thanks for reporting that problem, I've added to our problem tracking list and should be fixed in the next Maintenance Release. In the mean time instead of deleting the pledge, go to view posted contributions, find the contribution attached to the wrong pledge, on this screen you can change which pledge the contribution is applied to.

I've tried to discover how this is happening. I think I may have the answer. When you go to enter contributions and click on the view pledges button, the screen comes up with the top pledge highlighted. If you then click OK, it changes the pledge to whatever was listed at top. In our case the 2005 pledges are listed first. If you changed program to highlight the pledge that is within the date range first, then clicking OK would probably not change anything. Example: I enter contribution for 2006, it originally says under the check pledge button that it will be applied to 2006 pledge but I decide to use "View Pledge" button anyway. It comes up with 2005 pledge highlighted and if I click OK instead of cancel on that screen it will change the pledge to 2005. In talking to data entry clerk, she thinks this may happen. Maybe by changing the pledge that is initially highlighted to one in the date range we could cut down on this error.

FWIW ,... we did not grant the contributions entry people access to view pledges. The reason is that is information they don't need to know, and the system will attach the contribution to the current pledge against the fund without any intervention needed.

I have caught myself several times nearly doing this.

It only happens when I use the "View Pledges" button in the Contributions data entry screen. The problem is that the highlight defaults to the top pledge on the list that pops up. If that pledge is for the current year, no problem. But, if there is a pledge for a previous year, that one usually is highlighted. If I click the 'OK' at the bottom of the list, the current contribution is attached to the highlighted pledge, and that one may be wrong. However, if I click 'Cancel', the current year's pledge is the default. Usually I have to manually select the current year's pledge from the list, or I risk the entry being attached to the wrong pledge.

As long as I don't have to "View Pledges" the pledge defaults to the current year. Hope this helps.
