set up accounting with multiple bank accounts

Post by BethAn »

I'm starting to get the hang of this program and so far I love it. Got the members entered and am starting to record contributions and attendance.
I'm just about ready to start the accounting set up but need some advice.
We have 3 checking accounts all used for different things. One account is for the budget and is the one most used. The second account is for designated giving, money is held in specific line items until needed and can carry over from year to year. The third account is actually a money market but we do write the occasional check, but it is mainly savings and gets deposits on a regular basis.
I'm confused about how to set up accounts so that the 3 bank accounts are kept separate. I've read the book and I think I understand how to set up my chart of accounts for the budget checking but what about the other 2 checking accounts.
I feel like I'm missing something right in front of me. Maybe someones suggestion or explanation will turn on the 'light bulb' so I'll understand it better.
Thanks.

As long as each of the 3 accounts has a different 4 digit major account number, they are seen as different and separate in PowerChurch.

For instance:
01-1110, 02-1110, 03-1110 are all the same account.
01-1110, 01-1210, 01-1220 are all different accounts.

Does that help?

In PowerChurch there is no need for multiple checking accounts. In your case you could combine your budget account and designate giving account. You probably want to keep your money market though since it is really a savings account.

I would give your three checking accounts separate account numbers. Then all you have to do is assign each account to a fund. I would guess your budget account and money market are in your general fund and your designated giving account is in another fund.

To (hopefully) further clarify:
01-1110, 02-1110, 03-1110 are all the same account, but different funds
01-1110, 01-1210, 01-1220 are all different accounts, but are the same fund.

If I said that incorrectly, get the wet noodle out!

Thanks for the help. I think I see now.
Randy, I sure wish we could combine the checking accounts into one, but the church Elders are so afraid that we might accidently spend money from the designated funds for budget items. So, I have to keep up with 2 checking accounts at 2 totally different banks.
I just don't want to make any mistakes that will be hard to fix later.
Thanks.
