Multiple deposits on same day posting as one total in PC+

Post by Jon »

I'm using ver. 11.5 of PC+, and have a question about multiple deposits made on the same day:

Sometimes we want to show separate deposits going into the bank. For instance, a weekend event in which we take in money for the event, and then our Sunday service tithes and offerings. Or we may get contributions on the same day for different purposes. Even though we make separate deposit slips for each type of collection, they post in PC+ as a lump sum for the day, and therefore, don't match up exactly to the bank statement. (I can add the totals together to come back to the total on PC+, but I'd like to show the individual deposits exactly as they post at the bank.) Is there a way I can get PC+ to recognize multiple deposits with the same date as separate deposits?

Many thanks for your help on this. :)

You would need to post these to Funds Accounting from Contributions for each separate deposit. That is, enter the Saturday night event, then POST contributions. This creates a separate transaction in the Funds Accounting queue.

That said, I wouldn't use the Contributions module to deposit money from an 'event', we usually just create a deposit transactions in Funds Accounting. A good way to do this is to create the deposit slip with a copy for the event money, and then drop the deposit in the banks overnight deposit drop so that this cash is not kept in the church overnight.

Even if you don't drop the funds at the bank, let the Bookkeeper or Treasurer make the deposit transaction from the deposit slip in Funds Accounting.

Here's what we do. We have four church services at four locations, all on Sunday, plus some special "event" things once-in-a-while.

I enter church service #1 on the Sunday date of the week.
I enter church service #2 on the Monday date of the week.
I enter church service #3 on the Tuesday date of the week.
I enter church service #4 on the Wednesday date of the week.

When I look back, I can tell which service it was by looking at the day of the week.

I enter special "event" deposits on Saturday's date, regardless of the day of the week it happened. I use Thurs. and Fri. for multiple special offerings in one week (not too common).

The only drawback is that I sometimes have to explain to people looking at the PowerChurch-generated reports, that the offering dates do not indicate the actual date of the offering.

John you could get around that by just posting Contributions after each is entered. Each creates a separate deposit transaction for Funds Accounting.

Neil:

Maybe this issue is corrected, but it used to be that if I wanted to see a deposit from one church location, and I entered the date, all the deposits for that day would be lumped together. Specifically with Posted Contributions and Fund Report.

Aha ... I see your issue there. This occurs under Contribution reports, but not under Funds Accounting.

Fantastic, Neil. This solution makes sense!

I've just started using PC+ this month, but am inputting financial data all the way back to October, 2009. I've been entering all the contributions for an entire month and then posting them all at once, not realizing it would combine the totals.

This is great news! You've helped me tremendously. Thank you very much. :D
