Link particular income with associated expense

Post by kara »

Is there a report or a way to link particular income and expenses together? This question is coming from our board. For example - I give them an Income and Expense report for each of our 3 funds for their monthly meeting. There may be income for a youth event and then expenses associated with that event. They want to see a net amount from that one event. So, if our youth paid $1000 for an event and the church paid out $1500 for that event, the board wants to see on a report the net cost for that event. I hope I am making sense.

Right now, they do the calculation manually. There are numerous instances where this info is handy - bible study workbook purchase and sales, women's events, etc.

Thank you!

You can use sub-accounts unique to each grouping.

For example,
01-4110-101 youth event income A
01-5420-101 youth event expense A

01-4110-102 youth event income B
01-5420-102 youth event expense B

Run an Account Activity Report for
Fund 01 to 01
Acct 0000 to 9999
Subacct 101 to 101
and you will see the income and expense for event A on one page

Run an Account Activity Report for
Fund 01 to 01
Acct 0000 to 9999
Subacct 101 to 102
and you will see the income and expense for event A and B on one page

It will still separate them by account, but they will at least be on the same page.

Thanks.....seems like a lot of work changing all those account numbers considering how many of these "links" there would be. Hmmmm. But thanks....so appreciate your knowledge!!!

If you go to Fund Accounting / Setup / Maintain Chart of Accounts

and type in an account number, like 4120-000

You can simply add the 101 and SAVE and it will move the account to the new number. It won't take long.
