Contributions

Post by El Bethel Office »

We just finished the Accounting set up process, but forgot to eliminate for contribution funds we no longer need. When we go to delete the funds, the database says we cannot delete because data exists for the fund we are trying to delete. The problem is that not data exists because we just started the accounting set up process.

Please advise how these items can be deleted. Thank you

Are you talking about income accounts in Fund Accounting ?? I would think not since you are referring to Contributions. The first thing you need to understand is that Contribution Funds really have nothing to do with Funds Accounting. Its a completely separate module with its own area of the database.

The only connection from Contributions to Funds Accounting is during the setup of a Contribution Fund where you pick the bank account and income accounts you wish the funds to appear in after you post to Funds Accounting. These two account numbers are then used by the system to create transactions that are placed in the Funds Accounting unposted transactions queue.

So you can see there is no DIRECT connection between Contributions & FA.

Now, the reason you're getting an error is that there are probably Contributions that have been entered against those funds, so you really can't delete them without going through the Delete Old Data process in Contributions. However, since the IRS says you really can't delete such Contributions data for at least 4 years, the best thing to do is make them either inactive by unchecking the 'Active' box, or you can Reassign the fund to one of the other Contribution Funds you may have created.
