User Accounts

Should we have an individual user account for everyone who logs in? The reason I ask is this, currently we have a user called "Deacons" and all of the deacons use that to put in contributions. On reports entries show as Deacons. Would it be wise to have individual users that it would then show the exact person who entered information? Also, if you delete a user does it delete that information or just the user login?

Since these people are doing Contributions entry, you should know who is on the team counting that day. What we used to do was have one person on the counting team as the data entry person. They always did the entry, so depending on the week, you knew who was doing the computer work.

You really don't need to have individual user ids, unless you really want to track this closer and again, I would only do one person per team.

As far as deleting a user, you're just deleting the user id, nothing else gets deleted. What were you expecting to be deleted ?

For instance on the report it would say "entered by _______" that would remain? The reason I ask that is if we were to do individual logins, people rotate off every 4 years and new people come on.

The system will retain the User Name as part of the original data entry, it doesn't appear that the entry is linked to the user record. Just tested this on v11.1, and I'm fairly sure it works that way in 11.5.
