Printing Contribution Reports

Post by PFCJames »

I am new to PCP and am using v.9. We are wanting to run the year end contribution for mailing out to our members for their tax purposes. We have notice on some of the reports that only a spouse name will appear on the reports. Instead of Mr. & Mrs. Smith we are getting Mrs. Jane Smith for example. What do we need to do to correct this?

Thanks all,
James

You need to add Mr or Mrs Smith to the envelope number. If only one personal record under the family has an envelope number assigned, that is how the statement will be printed.

For Example:

Mr. & Mrs John Smith are listed in the database, each has their own personal profile record.

Scenario 1:
Mr. Smith has envelope number 100 assigned, Mrs. Smith is blank:
Mr. Smith will be the only person listed on the contributions statement.

Scenario 2:
Mr. Smith has env #100 assigned. Mrs. Smith has env # 250 assigned:
Each will get their own contributions statement

Scenario 3:
Mr Smith has #100 assigned when the envelopes are assigned, as his wife Mrs. Smith is given the same number since Mr & Mrs Smith are one contributing unit:
One statement will be produced, listing Mr & Mrs John Smith as the addressee.

Hope this helps.

Neil,

When I went back to church tonight I sat down with it once again and realized that this is indeed what was happening. On some of the people we did not have the spouse plugged in. On others the wife was showing as Dir Seq. No 1 not number 2 so her name would be printed ahead of her husband.

Thanks again for your help,
James
