At the beginning of this year (2006) we changed from PCP V8.5 to V9. We had an ongoing pledge in 2005 that carried over to 2006. There is no way of transfering the pledge contributions from V8.5 to V9. I would like to know the best way to handle this where no one looses their pledge contributions from the prior year. So far all I have done is physically made a copy of the 2005 pledge contributions and as needed add the two amounts together. I thought of manually entering each individual pledge contributions from the prior year but then that would be the same income counted twice for 2005 and 2006. There must be a better way. Suggestions anyone?

Are you saying that when you converted from v8.5 to version 9, the multiyear pledges did not move with the rest of the data ?? No one did a contribution data cleanup, did they? The reason I ask that is that when we converted, we didn't lose any such data, whether to version 9, or version 10.

That exactely what happened. The previous years contributions did not move. However, I do still have V8.5 on my computer with all data thru 12/31/2005, which is why I was able to print the previous year pledges and manually calculate as needed, and off course I have backups. I am unaware of anyone doing a contribution data cleanup.

We haven't seen any issues over the last two years with contributions data not converting properly. In version 9, take a look under the Contributions menu at View Contributions Audit Log.
There should be an entry here if someone deleted old data in the Contributions module.
If you want us to check it out for you, to make sure the conversion process works the way it is supposed to, give us a call in Technical Support and we will walk you through sending in a backup from version 8.5 so we can convert it here.

Pledges
In V9 I did take a look under the contributions menu at View Contributions Audit Log. There are entries there. These entries however are dated from March 2006 - November 2006. Are you saying then, that there should not be any entries in View Contributions Audit Log at any time unless someone has deleted old data in the contributions module? If this is true, then is it possible this may be the reason I am having a filter problen where I cannot view all posted contributions under the contributions menu?

There will be entries, as I'm sure you are seeing, for contributions being posted, envelope numbers changed, contribution funds being changed, etc. The entry that I was interested in seeing would read "Delete old data - contribution"
That was just a suggestion of a place that would show a record *IF* contributions had been deleted.

Now I think I understand the view contribution audit log. Before you directed me to look there I didn't know it exist. Now to answer your question yes there are data there, all the ones that you said would be there are there, but nothing that says delete old data - contribution. You mention calling technical support and someone would be able to walk me through sending in a backup from V8.5. I got a new computer for Christmas. PCP V8.5 was on my old computer. I only downloaded the PCP V9 on this computer. Should I also download the PCP V8.5 to get a backup sent in to V9? If so I can do that and I should do it before I call in.
