Hi,

We've recently upgraded to PowerChurch 10 and I'm trying to help the admin staff get all our contact info into PowerChurch.

For now we will only use PC for mailings and creating a directory. We are setting up two primary mailing lists: one for the monthly newsletter, and one for the annual stewardship campaign.

It's easy to do all of the above when all members of a household share a newsletter, stewardship letter, and directory entry. But what is the best way to handle the following situations?

1. Two adults in a household want to share a newsletter and directory entry, but receive separate stewardship letters?

2. Two or more adults at one address want to share only a newsletter, but be treated separately in the directory and receive separate stewardship letters?

I thought perhaps I could create Family labels for the newsletter and Personal Profile labels for the stewardship letters. But even the Personal Profile labels print only one label per address.

Since you're not using Powerchurch for contributions, you're missing out on one of the best integration features of the system.

Normally, I would just say to create your stewardship mailing list from the Contributions menu, as it would select the list by envelope number. If these adults gave separately and have different envelope numbers, the system would add each one to the list.

However, in this case, since you're not using PC+ for Contributions, what you may want to do is setup a special mailing list profile code for one of the adults in this home, and use that mailing list code on a mailing list profile you add to the system. No need to add a personal profile here.

When you then create the mailing list labels from PC+ (or export the data), You could select the standard mailing list profile code plus this special stewardship profile code as part of the filters to pull the data.

Do you see what I'm getting at ??

Thanks very much for your response. If I understood you correctly, assigning an envelope number makes someone a contributor, and contributors can be selected for a mailing list. While it may be awhile before they are ready to track contributions in PC+, I suppose they could at least assign envelope numbers to those who do or might contribute, essentially creating a stewardship mailing list.

Regarding your suggested workaround, I think you're saying to add a "dummy" Family Mailing List record, then code it to only get the stewardship letter and no other mailings. I guess really it would require one dummy record per contributor, right? Otherwise you'd have one stewardship letter going, for example, to "The Johnson Family" (the primary record) and another to "Frank Johnson" (the dummy record), right?

Right on both counts, which is why assigning an envelope number is probably the easiest way to take care of this, as there's no need to 'clean up' these dummy records later on.

FWIW ... if they are already giving, and they have an envelope or some type of account number currently, you can use that number in Powerchurch.

* Create a separate Family Mailing List entry for each adult.
- Code one Family Mailing List entry with Newsletter = Yes.
- Code all others with Newsletter = No.
* Under each Family Mailing List entry, create a Personal Profile for the respective adult and any children.
- Code the adult's entry with an Envelope Number if the person does or might contribute.
- Code the adult with Dir. Seq. No. 1, and the children starting with Dir. Seq. No. 3.
Result:
- One newsletter goes to one of the members, who can share it with others.
- Each member is listed separately in the directory, along with any children.
- Each contributor gets a separate stewardship mailing.

* Create one Family Mailing List entry for the family.
- Code it with Newsletter = Yes.
* Under the Family Mailing List entry, create a Personal Profile for each adult and for any children.
- Code the adults' entries with different Envelope Numbers if they do or might contribute.
- Code the adults with Dir. Seq. Nos. 1 and 2, and the children starting with Dir. Seq. No. 3.
Result:
- One newsletter goes to the family.
- The family is listed together in the directory, along with any children.
