Database interconnectivity

Post by sleafe »

We have moved our PC/PLUS8.5 to our new server. A great deal of information has been entered since the move; however, our bookkeeper has been maintaining the accounting module on a standalone computer with no interaction between his data and the server data. We would like to load the accounting module data onto the server now but are concerned that there may some linking going on between the accounting data and the members data the would be damaged if the members data in both data sets do not match exactly.

The question is, do the members module and accounting module work in sync with each other or are they autonomous. If they work in sync, is there an acceptable method to merge the two data sets without having to start over?

If the bookkeeper makes an Accounting backup, and you restore this to the server, your Membership data will not be affected. Membership and Accounting are, for the most part, completely separate.

Contributions information does rely on the Membership data. The Envelope numbers are stored in Membership, and are the connector to Contributions. If those numbers get out of sync, then you'll have problems. If your bookkeeper is tracking Contributions, that's a little more difficult, but doable. You'd basically need to make sure the envelope numbers are the same in both sets of data.

Thank you for the insight. I assume that one can readily determine what the envelope numbers are from your post so I will give it a look. Thank you for your quick response.

Your best bet would be to run an envelope numbers list (Contributions -> Reports - Contributions -> Envelope Numbers List) on each system and compare them.
