Attendance Data moved--Help!

Post by Karen Harris »

We enter our worship attendance as an activity (#1900). We are re-organizing our activities and wanted to change worship attendance to 1501.
I added 1501; then I went into Mass Updates and changed 1900 to 1501. (I had done a number of changes that way and randomly checked and this method was working.)
I went back to 1900 and tried to delete the number. It said there was data in it, so I canceled. I pulled up a report for 1900 and it says there are no records selected.
So then I looked at a member's attendance, and it shows both the 1900 and the 1501 numbers.

I hate to ask this, but did you do a backup prior to doing all these changes ???

The reason I ask is that if you can do a restore (and hopefully, no one has done any updates in the rest of the program) you can do what you want to do with a simple change of the activity number.

A) Under the Activity or the Attendance module, you would select the Maintain Activity/Skill Descriptions function. Then locate the activity you would want to change, in your case 1900, and change the number to 1501. The system would then update all the database records with the new number, and you'd be done.

Hopefully you can do it this way.

B) If not, verify that the entries for attendance are the same for both 1900 and 1501. You may have to do a report against each activity, print them, and manually verify. If the lists are equal, you can then go into the Mass Update function and Delete the entries for 1900. Then you can go into Maintain Activity/Skill Descriptions and delete the 1900 activity.

However, if the 1900 has more names than the 1501, and all those on 1501 are on 1900. I'd go ahead and delete the 1501 entries as listed in the above paragraph B, then do the change as I listed in paragraph A.

Hope this helps.
