Custom Codes

Until about two weeks ago, we had one code to send all church emails out to those who want to receive email updates. However we made a change and made two separate codes: Weekly for all udpates and Missions for only mission updates. We went through all the profiles to update everyone's code under Notes & Codes to what their email pref was.

It came to our attention, that not everyone who has the code "weekly" selected on their profile are receiving the emails, myself included. I printed an personal profile email directory report for "weekly" code and not everyone with that code are showing up on the report. I looked at my personal profile along with another person's profile who receives the emails and can not see anything different as to why they get the emails and I don't. I also pulled a report for code: "missions" and no one shows up on that report and I see people who have that code allocated in their profile under Notes & Codes. :wall:

Additional info: Upon further investigation I've found that profiles that did not have any changes made are recieving the weekly email updates. Profiles that we made changes to the code are not receiving the emails. But they are coded correctly.

Any help with resolving this matter would be great! Thank you!

I'm assuming that you're sending out these emails using the Personal Profiles Send an Email to a Group function.

This may be a dumb question, but you are selecting the proper code from the selection criteria, right ? If you have people setup with the Missions or weekly code, you should be able to pull them using the standard Selected Profiles report under Personal Profiles.

The fact that those people who have not had their code changed tells me that there may be a problem with the way the selection criteria is set.

Let me state what I'm assuming you have setup.

On each personal profile, you've used one of the User codes to create an email setting. These settings are }Weekly and Mission. The original Weekly code was created previously and had been used successfully.

You've now updated some profiles to show either one of the codes, although there are some profiles that have not been changed from the original Weekly setting.

Now, the people who were not changed, are still getting the emails, yet people who have been changed to Weekly or Mission are not getting them at all.

You've run a report that says no one has the Missions code assigned, even though there are people who have that on their profile. I'm assuming you've done the same with the other code.

OK .. I hope I have understood the problem you have. Now, we need to figure out what IS working.

What report did you use to try to get the list of those with the Missions code assigned.
If you didn't use the Selected Profiles report, try to run that and see what comes up.

Thank you Neil for your response. Everything you stated was correct. We figured our error.

When we went to send out the email or pull the report we went to the "weekly" code and checked weekly, unchecked "none". Then in the "mission" code we cleared out thinking that if we had it selected then those who only want mission and not weekly were going to get the weekly email. So we thought we had to clear that code. This is not correct.

We saw in the selection window a message that says "each selection acts as another filter in the selection process"
