Deleting members

Deleting members

Our Finance Team set up the fund under the membership module, giving these funds an envelope number. I trie to delete them as I know that they don't belong there. Since contributions are tied to these envelogives me a message that contributions are linked to these "families". Since we upgraded to 11.5, can I delete them in 2013?

You could delete the 'members', however was this used for 'Loose Plate" collections, that is cash collected without an envelope ??

If so, and if you have an envelope setup for loose cash, I would move the personal profile of this 'member' under the Mailing List profile of the Loose Plate collection dummy member. Then change the envelope number using the renumbering module to the envelope you use for the Loose Plate. Then you can delete the extra personal profile.

For example:

Your finance person created a member called Some Fund, with a mailing list profile and a personal profile and assigned it the envelope number 100.

You have a "member" called Lucy Cash which you use for that loose plate cash collection. it has an envelope number of 999.

You find the "Some Fund" personal profile and click on the MOVE button and move it under the Lucy Cash mailing list profile. Then in Contributions, use the renumber function to change the "Some Fund" envelope from 100 to 999. This will move all the history from 100 to add to 999.

You can then delete the "Some Fund" personal profile, as well as the "Some Fund" mailing list profile, and the system will not give you any 'feedback' about contributions on the envelope because you still have the envelope attached to the Lucy Cash profile.

Thanks, I wish that was it, but they have set the following up as a member(i.e.,):

Breakfast Fund
Media Ministry
Building Fund
Refunds
These are only a few and they all have an envelope number, these are in addition to the Loose Offering. It would appear that all funds were entered as a members.

I would then do the same with all of them. And then lock out the Finance committee from adding new members and/or funds ;)
