Custom Deacon Family Lists

I need to create a spreadsheet that lists my 11 Deacons across the page and under each Deacon I need to list all the families in his Deacon group. This is currently being done by way of an Xcell spreadsheet and it does not get updated as often as I assign families to a Deacon in PowerChurch, yet the xcell spreadsheet is so important for the Deacons to keep up with. Is there a way to link my spreadsheet with PowerChurch or can I create an identical report in PowerChurch?

How is this used? is it given to each deacon? Do other deacons need to see who is assigned to who?

In version 11, there is a deacon report. It is not a spreadsheet but designed to give a deacon the information they need about a family. It is grouped by deacon so you can give each deacon the people that are assigned to them.

Does this have to be a spreadsheet? You could print the Deacon Report to a PDF file and e-mail to all the deacons on a regular basis.

Yes, it really needs to be a spreadsheet. It's a major tool the pastor uses to find out which Deacon to call on when there's a death in his family group, etc. Each Deacon SHOULD get an updated copy each month, because we're a large church and constantly adding families to his group, however, it's a booger to keep updated. I have it on an 8 1/2 x 14 landscape sheet, front and back. The pastor uses it pretty much daily. We work our Deacons alot, we assign Deacons even to our visitors, if something comes up with that family the pastor uses the sheet to find out who their Deacon is and contacts that Deacon. I am just not familiar enough with the report writer in PowerChurch to create this form exactly the way I have it, was hoping I could link my form the updates (assigning a Deacon to a family) in PowerChurch. :wall:

I think the reason he likes the info spread across the sheet, front and back, is so that there's not alot of paper to fumble through, easily read.

What information is on the spreadsheet? Is it just Family Name and Deacon?

The spreadsheet has Deacon Name, under his name is a numbered list of each Deacon head of household name, and indicated on the sheet under those families names are the families that are inactive. I can email the sheet to you if it would help taking a look at it.

I have been playing around a little bit to see what could be done. You can export from PowerChurch the family name and deacon information to a CSV file that can be read into excel. I could not get excel to format like you wanted with each column to be a deacon and the families for that deacon listed under them in that column.

If they deacons and pastors were willing to make a format change, it would be easier to accomplish. If they were willing to group the report by deacon and then list the families, it could be accomplished fairly easily in either excel or the PowerChurch customer report writer.

Yes, that's exactly what I'm looking for. I believe I can sway them to a different layout......not sure, either way that's what I want to see on my report. I think I'm on to something...on one of the screens while working on this (not sure which one) I was able to select which format I wanted, I selected the microsoft excell format and it actually worked, but need to do some tweaking. Not able to spend time on it today, but will work some more with it tomorrow. THANKS!!!!!
