Directory roster data for Lifetouch

I am working with Lifetouch Pictorial Company to send them a roster of our membership. When they received my data, which I sent through PC as I walked through the directions in the program, they said it comes to them in a PDF file which they cannot edit from. They said I need to send it in an excel or other format. Can I change the format and if so how? I have PC 11.5

Also, I only am allowed to include 1 email address and 2 phone numbers under each member/family. How can I choose not to use every family members email and cell number when they are all in the profile information. Do I have to delete information from each profile in order to have the information not included in the roster data?

I would appreciate any help I can get. Thanks!

I'm not sure how you're getting this data but there is a function that will export the data in the format that Lifetouch wants.

From the Main Powerchurch Menu select:

Membership -> Personal Profiles -> Other Output -> Create file for Pictorial Directory Co

the system will then display the Selection Criteria screen where you can filter out profiles by Personal Status, dates, etc. Once you've done that, click the OK button.

The next window asks you which company you are exporting the file to: Olan Mills or Lifetouch. Click on Next and the following screen asks you which Personal Profiles you want highlighted in each family group.

From the Built-In Help
If you would like to place an asterisk * or another character next to the names of members or regular attenders, you can do so on this step. Click the Add button to add a new status code to highlight, or click Delete to remove one that you have added previously. Click Next when finished with this step.

You can optionally have e-mail addresses printed in the church directory. If you do not wish to include e-mail addresses, uncheck this option box, then click Next.

You are able to choose one family phone number and one personal phone number to be included in the directory. Place a check mark next to each of the phones you would like to be printed in the directory, then click Next.

The final step in the process will create the file output. Before doing so the program allows you to change the location of the file and optionally, the file name that will be created. Click the Change button if you need to make changes. Otherwise, click Finish.
The file that is created is a text file that you can edit if you want. From the test I just ran, it appears that only one email address is included in this file.
