Integrated Data

How do you move a person from Integrated Data to be by themselves. For instance, the daughter of a couple is out on her own now and I want to remove her from the family.

All personal profiles must have a Family Mailing List Profile to be linked to. The steps are as follows:

1. From the Membership pull down menu, select Integrated Data Entry.
2. Using the Locate button, find the parent's Mailing List profile from the list. Click on the Family Members tab to bring up the list of personal profiles under that Mailing List profile.
3. Click on the daughter's profile to highlight it, and then click on the Move button.
4. On the next form that appears, Create a new family should already be selected. The daughter's last and first name should already be filled in the appropriate boxes under Family Name, as well as under Mailing Name. You may need to adjust the Mailing Name to change the "Mr & Mrs" that may be automatically entered before the name to Miss or Ms whatever you prefer. Then enter the daughter's current mailing address, phone, Mailing Category, etc. Once you are done click the OK button.

The system will then create the new mailing list profile and move the personal profile, it will then leave you at the new Mailing List profile it created. You can then add a 'Salutation' and/or email address to the mailing list profile's Contact tab, as well as any other entries for other information you may want to add to the mailing list profile. Usually, in this case I add a note to the Notes for Family on the Other Info tab that says "Parents: John and Joan Smith". This helps as a reminder for staff and your future replacement :)


You're done !!

PS: you will want to check the 'Use add family assistant' box before you close that module so you won't be surprised the next time you need to add a visitor or new member.

A quick note on this, the ability to add a new family "on the fly" when moving a person was a brand new feature in Version 11.55. If you are on an older version of the software, you will need to add a new family for the daughter before being able to move her out of her parents' family.

Urp ... I forgot my usual caveat about the version being used. If you're using v11.1 or earlier the process is similar, but as Zorak said, you have to create the Family Mailing List record first. If you need instructions on how to do that please let us know.
