saving email under maintain profile

I updated several profiles and they keep disappearing when I reopen the database. Is the proper procedure to go under "maintain profile, enter email, click "email statement" and to then save and close each record? Thx..Rette

Um .. all you should have to do for either type of profile, Mailing List or Individual, is to enter the Email Address, check the box for any email options, then click the SAVE button.

Try to reindex the database (Utilities -> Reindex) it'll take a minute or two, then try again.

Thank you. I just entered an email under "Membership/Maintain Personal Profile/Contacts/Email", saved and closed. I emailed out a statement. I then checked "reports-family mailing list", specified the family and it was not in this list.

To fix it I had to input the "family email" under "Integrated Data Entry". Rechecked the "reports-family mailing list" and it WAS there. So what I'm seeing is that if you want to maintain the email to email out statements, the email must be input under "Integrated Data Entry". Looks like it ought to pick it up also from "maintain personal profile". Hmmm is what I say also.

Please note you ran the 'Family Mailing List' report .. that's only going to pick up the email address entered on the Family Mailing List profile, you entered it on the Personal Profile.

Not exactly. Please note what I said above. You entered the email address on the Personal Profile if you didn't check the box there for "Email Statements" its not going to be used. If you enter the email address on the Family Mailing List Profile and don't check the box to "Email Statements", ITS not going to be used either.

Finally, you didn't say which Family Mailing List report you ran. If you ran the Membership Master Report you'll get a pull of data from both the Family Mailing List profile and the related Personal Profiles. If you then went to the family, you would not see an email under the Household Key record, because you didn't enter it on the Mailing List Profile, however, you should see it on the individual's profile.

If you run the Contribution Report, E-Mail Statement List you'll get a list of all the emails that are in the system that have the EMAIL STATEMENT block checked, but ONLY one email address per envelope[*]. Usually the one on the Personal Profile, even if both emails (Mailing List and Personal Profile) have the EMAIL STATEMENT block checked.

[*]FWIW .. if a couple shares the same envelope number, its best to have the EMAIL STATEMENT checked on the Mailing List Profile email address as then only one copy of the statement will be sent. However, if you want everyone who shares a number to get a copy, check the statement box on the Personal Profile email for both people.
