visitation reports

Post by rstover »

We are starting to use PC to organize our visitation. What I am looking for is if a person visits the church where do we go to input them and then print a report for our visitation team to use to know who to visit.

Is there a way to do this? Also will this add them to our roll? Should they have a certain status?

There are a few things you'll have to do.

1. you should already be maintaining attendance entries for your members to track their attendance at worship. This enables you to see if there are members who, for some reason, are not attending any longer which usually means that there is a problem of some sort. Usually this means contacting them to see if there is any illness, or issue with the church, etc.

2. Using the Fast Data Entry function of attendence, as you add normal attendence (we use 'pew pad' attendence sheets), hopefully you'll come across any visitor. You can then add this new visitor to the database using the Add Person button which then brings up the database personal profiles list. On this dialog, you can click on the Add New Attender button, which will bring up a set of dialog screens asking for information on the new attender. This will add the user to the database, I'd also check the 'add permenently to this activity' checkbox so that they will be listed in the activity attendence list in future.

You should also have a Mailing LIst Category and a Personal Profile Status codes of Visitor setup in your system. If I remember right, this is one of the default statuses that PC+ comes with.

3. You then can use the First Time Attenders report to get the list of new attenders for that Sunday.

You may want to review the Online Help for the Attendence module for additional information.
