Creating Email Directory

Post by carpy01 »

Using Ver 11.5.
Tried to create an Email Directory.

Attempt 1, Family Email field = John’s email.
Personal Profile = John email field = blank.
Mary’s = blank.
Result = John and Mary Names on list with John’s email duplicated.

Attempt 2. Family Email field = blank
Personal Profile = John email.
Mary = blank.
Results = John’s name and email only.
Mary’s name not printed.
Satisfactory due to Mary not having own email.

Question: This works! However what will be scarified
To other database functions by using this method?
Thank you for your help.

First of all, I trust you mean v11.55, as v11.5 was incremented to v11.55 via an MR. If not, you should download and install the latest v11.55 MR which will update the program to that level.

Second, are you doing this as a CUSTOM REPORT, or using the built-in Email Directory report found under Personal Profiles reports?

Using built in "Email Directory" Personal Profile Reports
OK ... that's the way the program works, all the data is coming from the Membership module database. If you have a personal email as the 'mail email' on the Mailing List profile, it is assumed that the email is for everyone in the family. If only one member of the family has an email address, but you only want that email listed for the person, just put it on the Personal Profile, not the Family Mailing List profile.

As far as Question: This works! However what will be scarified To other database functions by using this method? Nothing. However, could you be more precise in exactly what you expect to see?

"However, could you be more precise in exactly what you expect to see?"
Thanks for your response. I'm not expecting to anything. I was concerned
that if I used the corrective action I see worked might affect some other reports.
Thank you.
I have one more question. About Updates!
I know we need to update and I think I understand how to do.
Question: Are updates free? I have researched this but can't seem to find the answer.
Thank you again for your help.

Maintenance Releases are free of charge. You can get the latest Maintenance Release for your version by going to Help > Download Maintenance Release. If you hadn't already done so, that will install the latest bug fixes and updates for Version 11.5, which included a free update to Version 11.5.

There was a new Version 12 and then a free update to 12.2. The upgrade to Version 12.2 is $159 for a download link/electronic copy or $179 if you also want a physical install CD and printed manual in the mail. You can see a list of what was added or changed in 12 and 12.2 at https://www.powerchurch.com/changes

As for the discussion of the family vs personal email, just to clarify that functionality:

Having an email assigned to an individual Personal Profile will override what is assigned on the family, so if you have a family of five - mom and dad share the same email address, assign that email to the family. The kids can have their own separate email addresses assigned on the Personal Profiles.

It's really just meant to keep you from having to type the same email address multiple times. There shouldn't be any reason to have the same email assigned to both the family and individual person or worse yet, multiple people in the family.
