Data Entries-Mailing, Integrated, Personal Progfiles, ETC.

I have been trying to update the membership list and been having trouble because it seems to up date them, one must go to all the different member information data entries and make sure they all agree.
Isn't there a way for all the member entry modules to be coordinated and change only one?
In addtion I looked for one person and could not find him on any of these, but found him in "Activities and Skills" only.
Please help me get through all this.

I'm not sure I understand what you're saying , or what you're trying to update.

To track members, you should only need to update the Personal Profile, where the person should have a Personal Profile status Code of MEMBER. This should correspond to the FAMILY Profile, which should have a Mailing List code of MEMBER.

So there are only two areas that you need to update to, say, advance a visitor to a member of the congregation. You can do all of this from the Integrated Data Entry module which has the high level 'Family Profile' available for access, with all the family's personal profiles listed on one tabbed page. From those personal profiles, you can also access the person's assigned Activities and attendence records.

I also do not understand what you mean by looked for one person and could not find him on any of these, but found him in "Activities and Skills" only.. If you were able to find this person in the Activities module, then he must have a PERSONAL profile and a Family profile in the system.

If not, then there is a problem with your database, and you should call the Powerchurch office for advice, as I'm not sure a reindex can fix this issue.

I am confused about the Mailing List code of MEMBER. When is it used as opposed to NON-MEMBER? Specifically, given the case where the wife (or a teenage child) is a member of the church but no one else in the family is, which Mailing List code applies?

The mailing list code is the code used when mailing to a family group. Now a family group can contain one member, or the entire family as members. Some additional mailing list codes would be Visitor, Friend of Church, etc. For example, some churches may list the entire family on the mailing list profile (IE: Mr & Mrs John Smith) even though the wife is the member, and the husband is not. Others just use the name of the spouse that is the member. In both cases, the mailing list code would be Member. You would normally use the mailing list function to create labels for mass mailings, etc.

The personal profile code is then used to distinquish within families and usually consists of codes such as Member, Visitor, Inquirer or Potential Member, etc.. The system comes with some codes as defaults, usually non-members of a family group are given the code of Family Group Member. You would use the personal profile function for mailings to members only, and reports on visitors, etc.

All these codes can be customized to what you use, or you can adapt to the codes that come with the system.
