report vs print lables

I ran a family mailing list report selecting specific status' and printed it. then i printed mailing labels from the family mailing list with the same status' selected. My results were not identical - the report included more names than the mailing labels did. What gives?

Most likely, the people who did not show up on mailing labels do not have the "Include in mailouts" option box checked on the Integrated Data Entry/Maintain Family Mailing List screen.

This keeps them from showing up on mailing labels and mail merge exports.

nope. almost every one has that checked. the mailing category & Personal Status varied in the ones that showed up on the report and not on the labels too.

For the Report I selected Membership> Family Mailing List>Reports-Family Mailing List>Selected
Records>Mailing Category>active member, constituent, inactive special, regular
attender, shut in constituent and shut in member.

For the Labels, I selected Membership> Family Mailing List> Print Mailing labels> Mailing Category>active
member, constituent, inactive special, regular
attender, shut in constituent and shut in member.

I would think that this gave me the same list.

No problem.

It is the same selection happening, so I can't think of anything else that could be causing the two results to be different.

What worries me about this is that you mentioned Personal Status codes and they play no role in either of these processes. Personal Status would only be a selection if you are printing labels from Personal Profiles, Activities & Skills, Attendance, or Contributions.

So, since we know that you are for sure running the labels from under the Family Mailing List menu, the only other thing that I can think of at the moment would be that everyone is actually showing up in labels, but the sort order is different, so the two lists don't look the same. That's a big shot in the dark but the only other reasonable explanation of why the two lists wouldn't match.

except that I went through name by name comparing the two lists and that is how i found out that there were extras on one and not the other.

the only reason that i mentioned personal status is that when i ran the report, I had the status print out too. That's why i know that it happened in various status codes, not just one particular one.

This may sound weird, but try doing both reports, but only selecting one Mailing List Category each time. I realize this may be redundant, but it may pinpoint something that could cause the problem with all the categories included.

Just ruling out the obvious. Do the families that are not showing up have mailing addresses?

i compared category by category between the report and the mailing labels and there were only a few missing this time that I can find. Oh well, go figure. I think I will double check with my next mailing and see if it happens again. I just don't want to be missing anyone!

What I would do is research the ones the didn't show up and see what is definitely different between them, and the ones that did appear. It may be something completely overlooked such as a checkbox not checked, or they're not listed with full addresses, or stuff like that.
