family mailing list

Need some help please. I have spent hours going through the intergrated data entry and making sure to check or uncheck on people who I don't want to include in mailouts. Then when I go to Family Mailing List and export data it still contains folks that are not checked to receive mailouts. I also notice that although a family has one address in the Integrated Data Area the Family Mailing List has their old address listed.

Please advise. I need to export a mailing list ASAP for a bulk mailing. Thanks.

First off, the export data function does exactly that .. exports data from the Family Mailing profiles. It does not filter by the mailout flag, but only by the filters that the export data interface has.

From the help:
Include in mailouts. Check this box if you want to generate mailing labels for the household or include it in a mail merge file. You would clear this option for a household that does not wish to receive mail.
If you use the "Mail Merge File" you should be able to get what you want. You can export in comma separated format.

Second ... the Integrated Data Entry uses the data from the Mailing List Profiles and the Personal Profiles. If a family is showing two addresses, I'd look for duplicate Mailing List Profiles. Unless you're using the ALTERNATE Mailing Address, where a family could have two separate addresses, but at different times of the year.

Another option for the export for mailing. Print your mailing labels like normal. When you get to the mailing labels option screen, there is an option to create a Mailer's export file. This will create an export file of the mailing labels that you can then use in another program.

If you have people with alternate addresses this will make sure the correct address is used. If you just export the data, you will need to make sure the appropriate address is used. If you use the mail merge process, the correct address will be selected.
