Class Promotion

When promoting kids to the next grade level, we have successfully moved them up a grade via the "maintain activities and skills" function. However, when going back to check a specific name that has been promoted, they are still listed in the lower class. WHY??

Just to clarify, you're seeing this when you try to use Check In for attendance ??

Yes, when checking kids in yesterday for church they are all still listed in the lower grade. Can you walk me through the promotion process? Maybe we did this incorrectly? Here is how we did it...
1) Membership Tab
2) Activities and Skills tab
3) Setup
4) Maintain Description of activities and skills
5)Click on promotions
6)Locate the activity # ( we started with our highest grade to promote them out and continued down)
7) Entered what grade to promote them to and the 1 year period for them to be in this grade
8 ) saved

Right or wrong method??

In version 11, this looks right. However, there is also something you must need to have setup on each person's activities & skills list. Under Maintain Activities & Skills, look up one of the kids that needs to be promoted. Highlight their current class, at the bottom of that screen you should see a box that contains a Promotion Year . That year should be listed as 2011, if not you need to change that for every student. When the system moves the person to the next activity or class, this year will also update.

Once this is done, all you need to do is go to the Activity & Skills module, select Class Promotions from the pull-down menu, and follow the prompts.

For example: John is in activity 410, it is a one year activity, with the promotion year of 2011. Its August, time to move kids into the next year. You would go into Activities>Class Promotions, and the system will then delete the 410 activity from John's record, and add the 411 activity, which is a one year activity, with a promotion year of 2012

What year of promotion is listed on the students record? The promotion routine will not move them to the next class until that year.
