Donor Restrictions - Release from Restrictions not right

Post by COHSADMIN »

We're on Version 14.4

The accounting that is being generated when I select Release Restricted Funds on invoices is not correct. I know I haven't set something up right, but I need insight into what I'm missing.

Our data is old, we've been using PC+ for many years so we're always making minor changes, not starting over. I've been trying to move from a single Net Assets account to a more proper form showing With and Without Donor Restrictions.

I've modified the accounts as shown on the first image, but the system-generated accounting on the test invoice itself looks wrong with debits and credits both going against the same Release account.

The issue is that you should have a 4999-000 release account that closes to the unresticted net assets. That's how the restricted funds move over. The 4810-000 account should be connected to the donor restricted funds, which I'm guessing you did when you created the donor restricted funds under the Maintain List of Donor Restrictions, however the main release (4999-000) should be listed in the accounting setup.

As it appears you're retrofitting all this into a previous setup, what you should do is this, which will create the setup as done by the accounting setup system:

1. Create a report level 3 GROUP account 4801-000 with a description of TEMP RESTRICTED RELEASE
2. Change the 4810-000 to a report level 5
3. Create a report level 3 GROUP account 4998-000 with a description of RELEASED FROM RESTRICTION
4. Create a report level 5 DETAIL account of 4999-000 with a description of Released from Restriction, check the box to show that the account is a release account. Under details make sure that this closes to your unrestricted net assets account (normally setup as 3110-000) but in your case 3010-000
5. Go back into the account setup, and change the release from restriction account to 4999-000 on the Fund Accounting tab.

I also notice that in the Accounting setup you have the Default Equity account set at 3022 .. this is INCORRECT, it should ALWAYS point to the unrestricted net assets (equity) account, again in your case 3010-000. I'd also change that level 4 report account with a description of With Donor Restrictions which is a detail, to a GROUP and rename to DONOR RESTRICTED. If you can't delete it, and it add again.

This should fix your issue.
