Trying to clean up the Chart of Accounts...

Post by Trifecta »

We have 20 years of data in PowerChurch Online, and some old expense accounts that seem to predate even that. Many hands have resulted in the end of the chart of accounts looking like an illogical mess, so I'm trying to clean things up.

I have several accounts where:
--I run an activity report that covers the entire available time frame, including year-end transactions. There is no balance and no activity.
--I attempt to delete the account, and it gives me an error "The account cannot be deleted. This account has been used in an unposted or repeating transaction. Please run the Account Dependencies report to find the transactions that are using this account." (Note: there are no unposted transactions.)
--I run the Account Dependencies report on that account number, making sure to cover all accounting funds, and it finds nothing.

I've already looked through all the repeating transactions.
I exported the Vendor list so I could search those account numbers, and none of the vendors use the account I want to delete.

Does anyone know what I should try next? Thanks!

Have you run a "Delete Old Data" from Fund Accounting? You select the time period you want the deletion to end. Say you have data from 2010 to 2025, you really don't need to maintain anything more than 7 to 9 years of data (sometimes less), you can select to delete all data prior to January 2017. That will clean up some of the mess, especially if the accounts have not been used in the years since January 2017.

Of course, Powerchurch recommends that you do a Powerchurch backup of the accounting files prior to this being done.

All that said, if that account has been used anytime in the past few years, the system won't let you individually delete it.
