Custom Reports

We would like to get the Accounting Fund Balance Report but exclude funds which are effectively closed. The predesigned report does not offer an option to exclude funds with zero balances and no activity. I attempted to custom design a report but the options required to do this were not available. I considered marking the funds inactive but this would prevent their inclusion in historical reports which we don't want. Is there any way to request an additional option to exclude funds with zero balances and no activity from this report?
P.S. - It would be helpful if the querries used in the predesigned reports were available as a starting point in custom report querries. They could then be copied and renamed. The renamed querries could be used with minor adjustments to get the desired report rather than having to start from scratch.

Hello,

I've not attempted to build a custom report for fund balances, but have employed a workaround that may help you. As you know, PC+ does not allow us to "jump" fund numbers in a report (i.e., include F01, F10, and F50 and exclude F02, F09 and F49 in a fund balance report). But, the system does offer excellent flexibility regarding the fund numbering scheme (Maintain List of Accounting Funds). Subsequent to reporting the proposed changes to our governing body, we used the alpha/numeric capabilities of PC+ to adjust the numbering of closed funds. Closed funds reflect numbering starting at 99, 98, 97...etc. You could also use ZZ, ZY, for example. When you run the fund balance report include 01-the last fund number reporting a balance.

Eric,
Thank you so much for your suggestion. If I am understanding you correctly, we can go into Maintain List of Accounting Funds and change the Fund Numbers of Funds which have been closed. For instance, change Fund #54 to CF54 (Closed Fund#54). So, all of the old data would be available for use if we need to go back and get historical reports but we would have to remember to include CF funds in those historical reports. Am I understanding this correctly?

Hi Cindy,
You have two digits alpha/numeric to work with. You could designated and report that 80-99 are closed funds (i.e., closed F54 becomes F99) and or W1-ZZ - but you don't have four fields to work with so you can't include CF plus the fund number in that field. You can however include "closed" in the fund description and also notes about the funds history for addtional clarity.
