Payroll recording check twice

Hi - I'm running v 10.4.

I just became aware of a problem. In January, when new salary rates were implemented, I printed a paycheck onto plain paper to review before printing the check. I'm pretty sure that when the "Do you need to reprint?" dialog box came up, I said yes, then reprinted the check, same check number, date, amount, on check stock. But it is possible I closed out and re-ran the check using the same check number.

Because on this, the first check of the year, the check stub reflects year-to-date amounts that are double what they should be, as if for two checks.

The Payroll Check Amounts report shows two checks (same number, date, amount).

The check register shows only one (now reconciled) check with that number, no unreconciled checks.

The recipient has received the correct payment. The bank account has reconciled correctly, and my 941s for the first two quarters have been fine. But the year-to-date amount on the check stub is too high and I don't know where else this issue may show up. I anticipate a problem with the W-2 at the end of the year. January has long since been closed.

Any suggestions?

What I would do is void one of the checks in Payroll, but do not post that transaction in Funds Accounting, just delete it. I believe that should fix your totals problem.

As far as January being closed, you can keep up to 18 months open in Powerchurch v10 & 11, there's really no need to close months until you're actually part way into a new year. Check the Accounting Preferences to modify the number of months open.

Thanks Neil - I'll give it a go.

Thinking on it more, I may have over-paid the 941 deposit for that quarter, because the income and amounts withheld would both have been overstated. And the 941 return would have reflected the same figures.

It's always something, isn't it? Oh well, mistakes are just a good reason to learn how to solve problems.
