Payroll Beginning Balances

We are starting to use PC for the first time. Can someone tell me where you go to enter the employees YTD payroll information before we start processing payroll on PC. I'm assuming you can do this since it would be necessary for future payroll tax reports and W-2 at year end.

You can. But the way you it is to "manually" process each previous payroll.

In other words, go ahead and setup all the information so that you are ready to process the current payroll.

Then, when you click on "process payroll", change the date to the first payroll and process it. Change the date, and repeat this for each of the successive previous payrolls. You can choose to process it to a manual check, so that you don't actually have to print the previous payroll checks.

If you already have your bank account reconciled without all these new payroll entries, you can delete them in "unposted payroll" before posting them. Otherwise, go ahead and post them to Fund Accounting, and reconcile them as individual items.

If you delete it from unposted payroll, then the payroll will not have record of it and those amounts will not be on W2s or 941s. In version 11, you can post it and say to only update the payroll module, that will just update payroll and not transfer any information to Fund Accounting.

You could also create on manual check for the year to date amounts. You will be off in quarterly reports, so you might want to date that transaction in the previous quarter.

Another option would be manually update the W2s at the end of the year to add the payroll amounts from the first part of the year.

Wow!!! I hoped it would be easier than that. Maybe this will be a fix in future updates. Thanks for the info.

I think the problem is trying to start using the Payroll Module in the middle of the year. You could hold off using the Payroll until January, or as Jess suggested "You could also create on manual check for the year to date amounts. You will be off in quarterly reports, so you might want to date that transaction in the previous quarter. "

I would advise entering the manual check as suggested above, process the payroll for September and do the quarterly tax reporting manually, then start using the system fully starting in October.
