How Do I Correct Out of Balance Trial Balance?

Post by Matt »

I'm assisting a church and have converted their records from V.8 to V.9. I found out after converting that the Grand Total Trial Balance amount is off $284K. This was something that carried forward from V.8. In looking at the V.8 records it appears that someone manually changed the Year Start Balance in the Fund Balance account (3001) in V.8 to an incorrect amount. How do I correct this in V.9?

I just thought of something. Is there any way I can do some type of edit to one of the database records using the Database Manager to fix this? We just spent most of the day moving and renaming accounts in V.9. I know I could correct the beginning balances in V.8, delete the Fund Accounting transactions in V.9, and then redo the conversion but then we will have to do everything we did today over.

You are going to have to make an out of balance entry. This is possible to do in PC+ and we made it that we specifically for situations like this. The way to do this is on page 202 of the version 9 manual. Basically, if the reference begins with the letters OOB, you do not have to balance the entry. It will then save and post.

That did the trick. Thank you Jeff.
