Establishing Cost Centers or Departments in PC

Running PC+ V9. Our church's COA is setup with the General Fund as 01. Then we have a series of expense accounts starting in the 5000 series. We have been using the subaccount numbers as cost centers or departments. For example, our Salaries expense account is 5020 and we we have the following subaccounts:

100 - Pastoral
200 - Administrative
310 - Worship
500 - Congregational Care
690 - Children's Education
695 - Youth, etc.

I realize this may not be the recommended way to set up a COA in PC, but my problem comes in printing reports. If I want to print I&E reports for each department, it looks like I'm going to have to create a custom report.

My question is this: Is there a way in PC to setup departments or cost centers without using the subaccounts?

You can use the Functional Statement (it's called the Sub-account Report in v9) to view these accounts grouped by subaccount.

So I guess the answer to my question is

1.) that there is not a specific way to setup departments or cost centers in PC except thru the three digits subaccount, and

2.) if I use the three digit subaccount number for my departments then I will have to create some custom reports (if I want something more than the standard functional/subaccount report that comes with the program).

Right?

You may want to consider setting up separate funds for each of your departments rather than using subaccounts. That way you could run income and expense statements for each department without having to create a custom report.

I have seen that discussed here, but if these are my only two options, it would probably be best to keep with the subaccount system. The custom reports may be a little time consuming, but I will persevere.

The ability to easily create departments and generate standard reports may be an improvement you want to consider in future upgrades.
