Can't see my contribution in Accounting

Post by rccgdhg »

I am a first timer of power church. I posted contribution but cannot find them under accounting. I already set up the account, I can only find my opening balances but no posted contribution under income. Please help.

There are a few things to check.
1. In Contributions, does your Contribution Fund have a CR account associated with it? Does is have a DB account? (The DB account is usually 01-1110-000 checking).

2. When you posted in Contributions, did you use the drop-down choice of "Update Fund Accounting"?

3 If you did 1. and 2. then did you post in Fund Accounting? If not, your contribution can be found in
Fund Accounting / Modify Unposted Contributions/ [Locate].

If unposted in Fund Accounting, you need to post by going to:
Fund Accounting / Post Transactions / [Select Contribution to Post] / [Next] / [Finish]

Thanks Johnmeyers,
I don't know why I cant find it. A new contribution I entered was part of the Accounting. But all the previous entry cannot still be found. I followed all the steps you highlighted but still no solution. I can find the entries in contribution under posted fund report - contribution/ report contribution/posted contribution but not in Accounting. Please let me know if the is a way to track this out from where it is hiding or need to re-enter them.

Thanks

Let me correct a misconception. The Contributions database, and the Accounting database are two separate areas. Just because you see them in Contributions doesn't mean you'll see them in Accounting unless when you Post Contributions you use the Update Funds Accounting option of posting.

I'm assuming that you're using version 11.1 or 11.5 of Powerchurch. If so, you can go into Powerchurch, select the Contributions menu then select Setup -> View Contributions Audit Log this tracks any updates in Contributions such as envelope number changes and postings.

Select the contribution posting date in question and highlight it, In the notation box at the bottom it will show how the contribution was posted. If it was posted to Funds Accounting the notation will show Contributions posted to funds accounting month January 2014, of course it will reflect the correct month in the notation.

If you see anything other than that, then the contributions were not posted over to Funds Accounting, and you'll have to create a manual deposit transaction in Funds Accounting to reflect those Contributions.

In the CONTRIBUTIONS > Report Contributions > Fund Report by Date, you can print out the reports that you need. This will give you the different fund totals.

Then:
Accounting > Fund Accounting > Enter Transactions is where you manually enter the transactions.

For each item listed, you woudl:
1. Debit your Asset Account (1110 - checking)
2. Credit your income account (This is most likely your 4000 series accounts) that corresponds to the correct fund account.

To insure this doesn't happen again go to Contributions > Setup > Contribution Setup and selecy "Update Fund Accounting" in the drop down box.

1. Find a properly posted Contibutions deposit in Funds Accounting. Use that as an example of creating the transaction in Funds Accounting.

2. If you can't find such a deposit, then in the Contributions menu select Setup -> Maintain Contribution Funds. Check each listed fund, and jot down the income account assigned against each, this will be the credit account. Your checking account is usually the default debit account

3. In Contributions, run a Funds Report for the date in question, select the POSTED Contributions button, everything else should default to pick up all the funds.

4. Using the data in the report created in 3, create the manual transactions in Funds Accounting.

Also, I would have a copy of the PCPlus manual to assist you, or press the <F1> key to pull up context help in any area you're working in.

The "Fund Descriptions" report in Contributions will have the account numbers listed on it as well.
