Printing W-2's & 1099's in Version 12

Post by busadmin01 »

One of the features I was excited about in Version 12 was the ability to print W-2's on plain paper. However, the user manual says that they need to be printed on 2-per-page forms. Do they indeed print on plain paper?

Also, what about the 1099's? Do they print on plain paper also, or do I need to order the forms for them?

Thanks for your help!

If you're looking at the paragraph with the header of Printing W2s and W3s, that note should have been updated as its true for earlier versions of Powerchurch, but not for v12. It was an editing/prooftexting issue only. If you go to page 349, under the header Print/E-file W2s you'll see the paragraph that says:

The final step has the W2 and W3 forms queued up and waiting to print. Here you are able to print IRS approved forms on plain paper, or use pre-printed forms purchased from Dynamic Systems or elsewhere.

So yes, they do print to plain paper and, even better, the plain-paper printed Copy A can be sent to the Social Security Administration in lieu of the pre-printed RED versions.

Thank you, Neil! I have the printed manual, & p. 349 in mine is "Events". I found the W-2/W-3 info on p. 343, but I just saw on p. 345 that you can print them on plain paper. That's great! I guess I didn't read far enough when I saw on the first page that it needed to be printed on the form. :( I have the 1099/1096 info on pp. 266-268. I don't see anything there that says they can be printed on plain paper. Do you know if they can be, or not? It doesn't sound like it.

I ordered the manual when I ordered the upgrade a few weeks ago. It sounds like maybe it's not updated.

Thanks again!
Sandy

Unfortunately, the 1099-MISC and 1096 must be printed on the pre-printed forms. I don't know what it takes for the PDF to plain paper forms to be certified for use by the IRS, but that may eventually happen.

I referenced the PDF manual, the printed & bound manual does have page number differences. As far as the manual not being
updated, as I pointed out above, it was probably and editing/proofreading oversight.

There is currently no "substitute form" program for 1099/1096. If and when that becomes a thing, we will try to get on the approved list to print them. Until then, the options are to buy pre-printed forms or e-file.

The warning about not using typewriter forms for computer printing of W2s has now been removed and future Maintenance Releases will reflect that in the included PDF manual.
