Remove/consolidate vendors

Post by foxygramps »

We have several instances where the same person or company is listed in the vender directory under slightly different names. For example, the same person was reimbursed for various items purchased for the church or school. Depending on who entered the name, or how long ago, it could be entered as Examples: Trot.B=Bette Trotter; Bette=Bette Troter; B.Trot=Bettie Trotter, to give just a few examples.
We would like to clean these up. How can we remove some of the 'duplications', or consolidate them under one entry, assuming that all of them list some reimbursement.

When a vendor changes their mailing address, and you change it in Power Church (ver9), does this have any effect on the vendor list, other than showing the new address, or does it create an additional entry?

If the vendor data on the duplicate vendors is old you could use Delete Old Vendor or Payments Data in Accounts Payable to get rid of them. Be sure to back up your files before doing a delete like this though.

More likely though, you do not want to delete the vendor data. The problem is that there is no way to combine vendors in Accounts Payable. One thing you could do is identify which vendor ID code you really want to use. Then what I've done in situations like this is rename the other duplicate vendor ID codes and Vendor Names by putting the letter Z in front of both. Very few vendors begin with the letter Z and doing this will group all the duplicate vendor records you no longer want to use at the bottom of the list in Maintain Vendor Records, where they are more out of the way. Yet there will still be enough of the original Vendor ID and Name retained for you to readily look the records up if you need to.

It seems capricious that we can combine account numbers but not vendors.
