Outstanding Checks on Bank Reconciliation

Hello,

We are running Windows XP and PC+, Ver. 11.5. When we reconcile our Checking Account within PC +, the Adjusted Bank balance and the Account 1110 balance show a difference of $0.00 (that's a good thing :) ) However, at the bottom of the Reconciliation Report, there are five (5) outstanding checks that always show up. Several of the checks are dated over a year ago. I called our Bank and was informed two of those checks did, in fact, clear. The others have not. When reconciling, if I check off the "old" onces that cleared, it throws us out of balance by the amount of the checks. In addition, within Accounts Payable, I voided one of the checks that has never cleared. The entry shows up in Fund Accounting as it should, with the check # - Void and the transaction reversed, but the check still shows up as outstanding. So my question is -What's the best way to stop these outstanding checks from showing up on the Reconcilation Report each month?

Thanks in advance for your assistance.

Sincerely,

John

Depending on who the checks were made out to, you may want to reissue the checks.

The uncleared checks can be voided and optionally reissued. Reconcile both the check and the void.

Have the bank give you a photocopy of the cleared checks to make sure they were cashed by the correct parties.

Apparently, mistakes were made.

If all the checks are more than 6 months old, if it was me, after all the checks are voided/re-issued/etc., I would make one entry, like this, to catch up the reconciliation:

DB or CR 01-1110-000 checking $amount-that-you-are-off
DB or CR 01-3110-000 unrestricted net assets $amount-that-you-are-off

Post the above transaction ,and reconcile it.
