Accounting Setup

Is it true that under the Accounting Setup Options, on the Fund Accounting tab, you do not have the option to select "Use release accounts" for one Fund but not another? I have decided I need two Funds, 01 & 02. I need release accounts for 02 but not for 01.

Is it also true that under the Accounting Setup Options, on the General tab, you do not have the option to designate a default bank account number for each Fund, in my case one for Fund 01 and another for Fund 02?

Originally, I set up release accounts for Fund 01, when I thought it was going to be the only Fund I would have. Later, for various reasons, I decided it would be best to have two Funds. Now I want to delete the income accounts in Fund 01 which would have been associated with my Restricted accounts and need release accounts. However, when I try to delete those income accounts, I receive a message that "The account cannot be deleted. This account has been used in the setup of another module. Please run the Account Dependencies report to find those areas that depend on this account. Also check the Accounting Setup options." When I run the Account Dependencies report, the only use those income accounts have on that report are with the release accounts. I tried going under Accounting Setup Options and unselecting "Use release accounts," but the system still will not allow me to delete those income accounts and the Account Dependencies report still indicates the accounts' use with the release accounts.

Any idea of how I can delete those accounts? Thanks, PWN.

Here are some places to look.

If I created 01-4210-000 as restricted income, and 01-4810-000, they would both close-to 01-3210-000, which you have to let PowerChurch know is a restricted equity account.

01-4999-000 is unique in that it is the General Release account and closes-to a non-restricted equity account.

I don't think you need to bother with 01-4999-000 or the General Tab, Accounting Setup where it says to check
"use release accounts".

I think your dependency may be coming from the Detail tab in 01-4210-000 or 01-4810-000 (from my example above) where they close-to 01-3210-000.

If you are not using them, delete 01-3210-000, 01-4810-000, 01-4210-000. If you cannot, try going into 01-4210-000 Detail tab and change the "close-to" to 01-3100-000.

If you still cannot, it may be because you've posted to these accounts.

JohnD, thanks for the suggestions, but all of the income accounts that were set up initially as restricted income have "close to 01-3110-000" on the Detail tab. Also, I have not posted any transactions so far, just been working on setting up Chart of Accounts. I will appreciate any other ideas. PWN

Ok .. .so you're really at a point where you can restart accounting if necessary, that may not be a bad idea.

It sounds like you have one or more Donor Restrictions set up using the accounts you are trying to delete. To confirm, go to Fund Accounting/Setup/Maintain List of Donor Restrictions. Review the donor restrictions that are there to see if there are any using the accounts you are trying to delete. If so, click the Delete button to delete the donor restriction. You should then be able to delete the account.

Amazing, Matt! You were right! I went to the List of Donor Restrictions and there were the accounts I was trying to delete from Fund 01. I deleted them from the Donor Restriction List and then was able to delete them from Fund 01. Thanks, PWN.
