Restarting Accounting

Post by angel1 »

Hello,

We were not yet ready to go live with our chart of accounts in 11.5, so I was told to continue to do all accounting in 10.4, but I could do my contributions in 11.5. The dilemma is that now we are at budget time and our Trustee Chair would like to know the expenditures in the various categories. When I pulled up 10.2 I saw years 2011, 2012, but nothing for 2013. How can I access this information.

Any help you can give would be appreciated. I plan on completing the chart of accounts within the next two weeks so that we can start using everything in 11.5, but I need help now, as budget information is due to the Finance Committee on 10/14.

Thanks as you have always been helpful in the past.

I did restart the accounting in 11.5, but was not satisfied that the accounts matched some of the accounts in 10.4 (which we do need to keep some and delete others).

There is something missing from your narrative that needs to be answered:

Where were you doing the Accounting for 2013 ???

I was told to do the accounting in 10.4, but I could enter the contributions in 11.5. I only posted the contributions to the contribution module.

I am assuming from your post that you have input transactions for 2013 in your version 10.4, but you are not seeing anything for 2013 when you run the Fund Accounting reports. Is that the case? If so, the first thing I would check is run the Unposted Transactions report in Fund Accounting to see if the transactions you have input for 2013 are there. I am guessing they are. If so, the next thing you need to check is to see what was the last month you have closed, and how many months do you have set up to be open at any one time in the Accounting Setup Options? I have a feeling that what's happening is that the last time a month was closed was back in 2011 or 2012. So when you add the number of months the system is set up for to be open at any one time to the last month that was closed this does not get you to January 2013. If so, you either need to close some months and/or increase the number of months that you want to be open at any one time to get you to October 2013. Then, you will be able to post the Unposted Transactions in Fund Accounting and produce your 2013 reports.
