We have 2 funds that we do payroll out of, the church and daycare. Both have their own Federal and State Tax IDs.
I'm working on the payroll setup assistant and noticed when I get to the Federal & State Tax IDs screen, I only see a place to list one set of numbers. Is there another way to add the 2nd Federal & State Tax IDs?

The program assumes that payroll is for the entire church, so it only expects one set of Federal & State IDs. In that case, you can install another copy of Powerchurch in a separate directory to handle the daycare accounts and payroll.

I'm pretty new to this software. I'm assuming they have 2 sets of tax numbers set up in version 8.5, was that possible? Where would I find that set up in 8.5 to verify?
I've spent hours working on this upgrade, most of which was spent reconfiguring the chart of accounts. You were very clear but I feel I have to clarify....having two separate folders, each with their own copy of Powerchurch is the only way to make this work?
I guess my next question is there an easy, quick way to delete the daycare (fund 02) information so I'm just left with the church (fund 01) info and vice versa.....

V8.5 is about 9 years old, haven''t used it in at least 7, so really couldn't tell you. However, I do know that PCPlus was never able to store two sets of numbers, but I vaguely remember that the 941 wizard didn't come into being until v9, so the ID's weren't really needed except for the W2s. Since the W2s can be manually edited (even in v11.x), I suspect they just changed the numbers there for the daycare employees.BCC wrote:Thanks Neil for your quick reply.

I'm fairly sure that two separate installs are the way to go, as I believe the 941 fed tax wizard will only work with one set of stored payroll data, and would probably lump the church and the daycare into one set of numbers.I've spent hours working on this upgrade, most of which was spent reconfiguring the chart of accounts. What you should do is take a backup of your current setup (hopefully you haven't started entering transactions) then install a second copy of Powerchurch into a separate set of directories. Open that second copy, and restore the backup to the second copy. Then deactivate all the Fund 01 stuff.
Once that is up and running, you can deactivate all the Fund 02 stuff in the church installation.

I'd go into maintain list of accounting funds, and see if you can delete it there. Again, if you have entered transactions you may not be able to until 4 years go by (minimum history required by the IRS), because the delete old data function works across all funds. Another option. Print out everything about the chart of accounts you created: the accounts, balances, etc. Then restart accounting. You'd have to enter all that back in for each installation, but you would eliminate seeing stuff from the other fund that you don't need to see.

For the 2 different employer IDs. Version 8 prompts when you start the process. On the initial screen for W2s it asks for the employer ID, you would have to manually change it for the group you are running. You would first do the preschool entering their employer Id, the rerun it for the church entering their employer id.
Version 11.5 would work the same way.
Version 8.5 has not had the W2s updated for a few years, I am surprised they were able to get the W2s to align correctly.

I assumed that's the way it was working, but I'm also assuming (and 'BCC' correct me if I'm wrong) that they're also using separate liability and checking accounts, for taxes.
How would that work when doing the 941s ??
