Chart of Accounts Clean Up

Hi
We would like to clean up our Chart of Accounts, is there an easy way to do this? I have made many accounts inactive but they still show up in searches. Thank for your help

There's really no easy way to clean up accounts when they've been used.

There are often transactions that have been setup in those accounts. IRS rules require that such history be maintained for at least 4 years, so you really can't get rid of them.

However, after those 4 years, you can use the Fund Accounting function to Delete Old Data. Once those old transactions are cleared out, you'll be able to delete those old accounts.

Now what can you do until then. Not knowing where these accounts are being used, its hard to give any good advice. You could give them sub-account numbers of 9999, then making sure that the 9999 is not included in the subaccount numbers being searched. However, when set inactive, they should not show up in the standard, built-in reports, and you can exclude them when creating the filters for a custom report.

The IRS has updated Pub 1828 as of August 2015, so it would be a good idea to download a copy for review:
