How to Merge 2 Contributors into one?

Post by philwells1 »

In the past several separate family members have been input into the contributions module instead of being input as one family (wife and husband). I would like to correct the situation. Is there a way to merge the 2 into a single family unit and thus have their contributions merged also? Thank you...philip wells. BTW your advice worked to go from an inactive account to an active one...thanks.

As long as the two family members are listed under the same Mailing List Record, you should be able to use the envelope reassignment function:

From the main menu head to Contributions -> Reassign -> Reassign an envelope number.

Enter the number you want to merge from in the first box and the one you want to merge to in the second box. So if the one family member received a number of 10, but the original number assigned to the other family member is 1, you would enter 10 in the first box, and 1 in the second.

Click Save and Close and the account will be merged, and all contributions entered under envelope 10, will appear in envelope 1.

Glad to hear that you have that CoA account active now.

What if the 2 family members have the same envelope # but when pulled up under contributions, they come up separately. When you look at each individual, under their data both names are included as tho they are in a family, but when pulled up under contributions, they are listed individually (e.g. Mr. and Mrs. Smith, even tho listed as Dave and Jane under the contributions). Not sure why if they have the same envelope #, why they come up as 2 separate entities. Thanks.

That's the way the system works, the one envelope is setup against two separate personal profiles, not the Family Mailing List profile. In this manner if the spouse writes a check on her account and just drops it in the plate (no envelope) the contribution counters won't create a new envelope for that 'new' contributor.

When the contribution statements ae printed, the names will both be listed under the one envelope. IE: Jack & Jane Doe

Of course, if you only want to see one name, then you can go to one personal profile and then zero out the envelope number. However, the contribution statement will only show one name. IE: Jack Doe.

Its really not a problem.
