Copying Prior Year Budget

Post by Pam »

I have +V10.
I had not yet copied the budget over from 2008, nor had I posted or entered anything for 2009. When I selected to copy the budget, it gave me the following message:

Copied 1 Budget Successfully.
96 Budgets were not copied due to existing budget amounts in the new year.

I looked at a budget report, and it appears to be ok, but I wanted to make sure I was not missing something before I proceeded with the changes that I need to make for this year.

Thanks so much!

I can't replicate your situation.

Did you make any entries in 2009 and post them in 2008?

Was anything different about the 1 account that did copy?

I don't know which one copied. It looks to me like they all did. I did not enter anything into 2009.

Is there something I can look at to verify this?

Run an account activity. Include all funds, all account numbers and set the date from Jan 2009 to Feb 2009 and see if anything comes up.

This one may be a bit messy, but run an account activity on all accounts and all funds from Dec 2008 through Dec 2008, and see if there is anything dated 1/1/09 or any date in 2009. (this may be a long report depending on how many transactions you had in december.

I had 7 accounts that carried their balances forward from assets, liability accounts, and temporarily restricted. All other accounts are zero for debits, credits and the total.

hmmmm.

Did you have any Jan 09 dates when you ran your Dec 2008 - Dec 2008 account activity?

Also, do you budget any of these asset, liability, or temporarily restricted accounts?

There were no January 09 postings in December 2008 and no budgets were assigned for assets, liability or restricted accounts.

I can't imagine what is going on. I will try a few more things on my system and let you know if I come up with something.

Ok. Thanks! I guess a question that I CAN ask is: If it did not copy something over to the new year as it should, where would I look to see if something was missing? It sounds like I had 97 accounts total and it says it only copied 1. Does that mean, if it truly did not copy, that I would only have 1 account listed in the budget? Would the ones that did not copy over show on a separate report somewhere?

You could run the Budget Report in Fund Accounting which by default includes accounts with budgeted amounts. You can select and deselect choices to investigate.

You can also scroll through the Chart of Accounts and investigate the accounts that you thought should have budget amounts and click on the BUDGET tab and see if anything is there.

It appears that all of the budget information for expenses transferred. When I run the budget report for assets, liability and net assets, the page is blank.

I guess I'm going to move ahead as if everything is fine, and start inputting the budget for this year so I can start posting.

Thanks so much for telling me where to look and what to look for.
