Chart of Accounts - moving accounts to new group

We are planning to modify the structure of Chart of Accounts and add new groups. New groups are created but we are unable to move the existing accounts (they have postings) to the new groups.
We are using PC-10.
Any idea if this is possible? If so any help / documentation is available?

Um ... exactly what do you mean by groups ??

As far as documentation, the built-in HELP is exactly the same as the printed manual.

For example let's say our account set up for Kitchen expenses and Building Maintenance are as follows:
By node I mean Building Maintenance as per example below.

Expense Category | Expense Group | Account
Kitchen Expenses | Kitchen Cleaning | 01-5530
Kitchen Expenses | Kitchen Supplies | 01-5585

Expense Category | Expense Group | Account
Building Maintenance | Electricity | 01-5900
Building Maintenance | Gas | 01-5901
Building Maintenance | Outside Cleaning | 01-5902

We would like to move the account 01-5530 within Building as new expense group:

Expense Category | Expense Group | Account
Kitchen Expenses | Kitchen Supplies | 01-5585

Expense Category | Expense Group | Account
Building Maintenance | Electricity | 01-5900
Building Maintenance | Gas | 01-5901
Building Maintenance | Outside Cleaning | 01-5902
Building Maintenance | Kitchen Cleaning | 01-5530

The issue we are facing is that the account 01-5530 can not be moved to the Building Maintenance.

I think this applies to version 10??

Bring up the account in Maintain Chart of Accounts.

Click on the DETAIL tab in the middle of the screen.

There is a MOVE ACCOUNT button on this screen. (you will have to give the account a new 4-digit number to get it where you want it).

You only need to use the move account when an account is used in multiple funds and you want to move one of them to another number.

For example account 5530 is used in funds 01 and 02 (ie 01-5530 and 02-5530)

Say you need to separate 02-5530 to another number and leave 01-5530 where it is. This is where you would use the move account. If you just need to re-number 5530 in all funds, all you need to do is change the number in the maintain chart of accounts. This will change the account number across all of the funds.

Can we create a new operating statement for 2012 moving expense line items around but still be able to run the old operating statement if we had to?

In a word ... No ...

What you can do is a take a backup of the database as it is today (Old_Account_Backup), and if you need to access the older account setup, backup what you have on the system (Current_Backup), then restore the Old_Account_Backup to run the reports. You would then restore the Current_Backup to bring the system back to the current setup.

This can be a little dangerous should you forget to make a backup before you restore the old data. What I do at the end of each year is to copy the entire PC+ folder to an archive folder and make it PCPlus2011. then you can access all of the previous data without having to be concerned about any lose of current data.

What I do is keep a non-networked copy of PCPlus available that I can restore backups to. In this way I can access data for a few years. At one time I had copies of V8, v9 & v10 available for use.
