Partial contribution to 2009
We have a parishoner who wrote a check for the wrong amount. She wants to apply 200.00 to her pledge in 2009 and 100.00 to her 2010 pledge. How do I do this? I realize that she has to claim all of the amount to her 2009 taxes, but how do I apply part of the check to her 2010 pledge without it affecting her statements? Where does the money sit until 2010? Also, she has not made a pledge for 2010. Can I still do this? Any help would be appreciated.

Even though she has not made a pledge for 2010, you can create one for 100.00 to cover this advance.

Re: Partial contribution to 2009
Thanks for your reply. I guess I am not understanding. If I check "do not apply this pledge", I am selecting the whole 300.00 and the whole 300.00 will not be applied. I want to apply 200.00 to the pledge for the current year. How do I apply the 200.00 to this year and 100.00 to next year? How will this work on the statement and how will it work when they report it to the IRS since all of it has to be reported for 2009? Will it show that they have met their pledge for the year but given 100.00 less in 2010? Sorry for the confusion.

You will have to make two separate entries using one check, one for 200, then 1 for 100.Intercession wrote:Thanks for your reply. I guess I am not understanding. You apply only 200 to this year's pledge, the other to general fund. When you create the 2010 pledge, you then search for contributions that would cover that pledge then select that 100.00.
The statement will show the amount in this year (and, unfortunately, will also show in this years general fund), however, the statement next year will show the amount already given toward the pledge.
For example.
The 2009 contributions will list 300 for tax purposes. It will also show that her pledge of 200 for 2009 is paid up in full.
In 2010, if you setup a pledge for her of 100 and you attached that extra 100 contribution, at the beginning of the year (and on her quarterly statement) she will have a pledge of 100 paid in full, but no contribution of 100 listed on the sheet.

Re: Partial contribution to 2009
Hi Neal,
Thanks for the answers. The problem that remains for us is that the contributions for that Sunday have already been posted to accounting. The accounting posting has not occurred yet (we do that at the end of the month). So, we don't see how to change the $300 check into a $200 contribution and a $100 contribution. The whole scenario is:
1. we received the $300 check on Sunday. It was deposited to the bank account Monday, and entered into PC contributions module that day as a $300 contribution towards her 2009 pledge.
2. the total Sunday contribution was posted to fund accounting on Monday, since all amounts matched the bank deposit.
3. On Wednesday, we found out she wanted to apply $200 to complete her 2009 pledge and use the remaining $100 toward her 2010 pledge (which she has not submitted yet, actually).
We have not done anything yet to fix this, as we can't figure out how to modify the already-posted $300 amount in contributions.
Thx,

First post any contributions you currently have in the system to FA.
then you would do the following:
1. Check the date for that contribution, then for that date, enter a NEGATIVE 300.00 for that fund under that contributor's number. This reverses the entry in Contributions.
2. Then enter two separate entries for that one check (again on the original contribution date), one that is credited toward the 2009 pledge, and one that is NOT credited to any pledge at this time.
3. Post these transactions to Contributions ONLY. This will correct the contributions database and show up properly on an end of year report.
Now on the FA side, you may need to do some transactions to move $100.00 to an account so that it will be available in next years budget. I'm not as handy in the FA side of the house, so I'm sure someone will come by to assist with those entries.
