Entering Contributions/Assigning New Number

Post by Danna Hightower »

When entering contributions using the check reader, if we receive a check that has never before been scanned:

IF THE CONTRIBUTOR IS SET UP IN INTEGRATED DATA ENTRY - They visited before, but did not make a contribution at that time so, therefore

DO NOT HAVE A NUMBER ASSIGNED TO THEM

When you scan the check, the system will not locate them so that you can assign a number at that point.

It prompts you to add the contributor. If you do this, you will have duplicate records.

I had to go to Integrated Data Entry, assign a new number to the already existing file, then go back to the contribution module to post the contribution.

I'm not sure if perhaps I did something wrong, or if this is something that needs to be looked at.

It would be much easier if you were able to locate that contributor, by clicking on the search button, open them and assign a number while you are posting the contribution.

Thanks so much!

PowerChurch Plus will check to see if the new contributor you are adding is already in membership and ask if you are adding the envelope number to the existing person or if you are adding a new person.

To be specific, when you click on Add Contributor, only enter the Last Name, this will bring up everyone entered with that last name. You will then be able to Edit that person to add an envelope number to their personal profile.

The reason you only enter the last name is that if the person was originally added as Ed Smith, and on the check their name is Edward Smith, you would not get a match if you entered Edward Smith on the Add Contributor initial entry dialog.
